It applies to personal information provided by e-mail, telephone, social media, face-to-face and the online ticket booking system for the World Rugby Hall of Fame.

We will store the data collected electronically on an appropriately secure server and restrict access according to our data security policies. Data collected on hard copy will be stored in an appropriately secure manner and location with appropriately controlled access. All our employees and data processors, who have access to and are associated with the processing of personal data, are legally obliged to respect the confidentiality of the personal data that we hold.

Bank Details

Bank details are required to process ticket.

We do not receive or retain these details if you pay online.  

Any information you provide to us over the phone is keyed in directly into payments terminals and is never recorded nor stored onto hard copies

CCTV footage

For your safety and security CCTV is in operation in public areas of Rugby Visitor Centre and Rugby Art Gallery & Museum. This footage is stored temporarily.

Our and your legitimate interests – keeping you, our staff and the buildings safe.

We do not disclose or sell personal data to any third parties or external organisations, other than companies carrying out work on our behalf. We retain responsibility for your data and ensure that these organisations only act on our instructions.

We share data with:

  • E-mail marketing service: The Rocket Science Group LLG, which subscribes to the EU/US Privacy Shield. The Rocket Science Group LLG may only use your personal data in accordance with our instructions. 
  • Ticket booking: Sportsbooker. Sportsbooker may only use your personal data in accordance with our instructions. Read the SportsBooker privacy policy:  
  • World Rugby Limited, for World Rugby Hall of Fame competition prizes. World Rugby Ltd. may only use your personal data in accordance with our instructions. Read World Rugby Ltd's policy.  
  • We will also share details about how you use our website with Google analytics, for the purposes of monitoring and improving our web systems. Your IP address is anonymised within the Google Analytics system and we do not have access to any personally identifying information. If you respond to any of our email or online advertising and are logged into Facebook, information about how you use our website will be passed to Facebook for analytics. We do not have access to any personally identifying information. If you watch any embedded Youtube clips on our website, information about how much of the clip you watched will be passed to Youtube for analytics. We do not have access to any personally identifying information.

Retention period 
We will process your personal data whilst we are providing you with the service that you have requested. We will store the personal data until we find that your details are no longer valid or until you withdraw your consent. 

Your rights as a data subject 
You have the right: 

  • to request a copy of the information that we hold about you;
  • to correct data that we hold about you that is inaccurate or incomplete; 
  • in certain circumstances you can ask for the data we hold about you to be erased from our records; 
  • where certain conditions apply to have a right to restrict the processing; 
  • in some circumstances, to have the data we hold about you transferred to another organisation; 
  • to object to certain types of processing such as direct marketing; 
  • to complain if we refuse a request you may make using these rights and you are not happy with our reason. 

We may refer any request you may make using these rights to another organisation, if they have been involved in processing your personal data.  

COVID-19 NHS Track and Trace

When you book a ticket online, you will be required to register on our booking system. This is essential for you to receive your ticket and to manage future bookings, should you wish to re-visit. Furthermore, in line with COVID-19 government guidance, the personal details you provide as part of booking may be used to support the NHS Track and Trace process. 

If you book in person with a member of staff, you will be offered a system registration for the purposes outlined above. Should you wish to decline, we will only record essential contact tracing details; these will be kept for 21 days to ensure they can be passed on to the NHS Track and Trace scheme if necessary.

Changes to this Privacy Notice

We regularly review our privacy notice, and may make changes time to time. Any changes made will be posted to this page, and will apply from the time we post them. This privacy notice was last changed on  30 July 2020.
